Executive Assistant
About Us
The City Centre Business Improvement Area (BIA) was formed on August 15, 2016 at the request of the locally zoned businesses. It is comprised of approximately two hundred businesses and located within the City Centre.
The Business Improvement Area is administered by the City Centre Business Association through an elected Board of Directors drawn from businesses in the area as well as representation from Spruce Grove City Council and the Spruce Grove & District Chamber of Commerce.
Our Mission
To develop, implement, facilitate, and promote initiatives to revitalize and enhance the growth and development of Spruce Grove’s City Centre as a destination for businesses, residents, and visitors and to re-establish the area as the civic, cultural, and social heart of the city.
Role of Executive Assistant
The Board of Directors for the Spruce Grove City Centre Business Association requires an Executive Assistant to provide leadership in the delivery of our strategic plan. Reporting to the Board of Directors through the CCBA President, the Executive Assistant’s responsibilities include, but are not limited to, the following:
Administration & Finance
· Responsible for all operations of the BIA, with a focus on administration and budgeting while excluding direct involvement in bookkeeping and marketing/social media, which are managed by designated contractors
· Providing administrative support to board sub-committees, ensuring all initiatives are progressing according to plan
· Scheduling meetings, preparing agendas with Board/President and communication of meetings with the Board
· Producing meeting minutes and disseminating them to Board
· Coordinating the Annual General Meeting of the CCBA Membership
· Attending relevant public meetings on behalf of the CCBA
· Maintaining and updating the business database and directory
· Preparing, submitting, and following up on all city permits and paperwork
· Writing and implementation of successful grant applications
· Monitoring email and phone messages
· Accurate maintenance of BIA files and records
· Assisting the treasurer in collecting receivables, dispersing payables, preparing payroll, and preparing the annual report and financial information for the auditor
· Maintaining and updating the business database and directory, including adding and subtracting BIA members when needed

Operations
· Promoting and facilitating special member-to-member events, and ensuring all relevant information is promptly communicated to the social media contractor for effective promotion and outreach
· Building partnerships with other community groups in staging events
Providing support and input to board sub-committees established to deal with specific activities, events, and issues
Completing other duties as directed and assigned by the CCBA Board/President
Communication & Promotion
Promoting and fostering the business and community environment within the BIA
Represent the CCBA’s interests within the community at both local and regional levels
Managing communications with BIA members
Assisting with administrative duties when preparing grant applications as needed

Qualifications
· You have solid administrative background and are able to work independently;
· You possess strong public relations and communication skills and are capable of providing clear and effective messaging of the work of the City Centre Business Association;
· You are proficient with Microsoft Word and Excel, and in the use of Facebook, Twitter, Instagram and other forms of social media;
· You have experience working in, or running a business, and understanding the needs of business owners;
· You will have a valid Alberta Operator’s Licence and be willing to work flexible hours
· Does not own a business within the BIA in the City Centre of Spruce Grove
Assets
· Experience working in the administrative field and with a Board of Directors;
· Knowledge of operating a non-profit organization, financial management and revenue development including grant writing;
· Experience in some specialised fields such as community economic development, project management, graphic design, public relations, communications, marketing, or business attraction and retention;
· Business Improvement Area experience or experience working with municipal government, government agencies and/or special interest groups that have close working relationships with government entities;
· Knowledge of Sage 50 accounting
Contract
· The contract position of the Executive Assistant requires the ability to manage a flexible work schedule
· It is expected that the Executive Assistant (Contractor) will work part-time and dedicate an average of 10 hours per week (or 40 hours per month)
· This will be a contract position for a one-year term with excellent prospect for extension
